The contents of each tab in the Web Terminal can be fully customized using the following controls.

Options in every tab

Don’t show this tab for now

Checking this box will remove the tab from the Web Terminal in volunteer view entirely. To show the tab to volunteers again, simply uncheck the box.

Text options

You can use different fonts, styles, and colors for your custom text by using the menus located just above the text area for each tab’s contents (if these menus are grayed out and don’t open when you click on them, click once inside the text window to activate them).

Font

Choose from any of the standard fonts or the fonts on your computer by selecting font and then using the Other option.

Style

Change the selected text to be plain, bold, italic, or underlined, or to create a hyperlink using the “link” option.

Size

Choose the font size to display in the Web Terminal.

Color

Change the selected font by choosing from a standard color, or create a custom color by choosing “Other” and then “Define Custom Colors…”

{{Token}}

The {{Token}} menu gives you access to all the same tokens that are available in your emails. Each token is replaced with the appropriate information for each volunteer when that volunteer logs into the Web Terminal. For more information, check Appendix A – Guide to Tokens.

Save all Web Terminal settings…

Saves the styling, options, and settings of the Web Terminal to a local settings file on your computer.

Load all Web Terminal settings…

Saves the styling, options, and settings of this tab to a local settings file on your computer.

Load content of this tab from file…

Loads settings for this tab from a locally stored settings file.

Login as…

This allows you to see what the Web Terminal looks like from the perspective of your volunteers. Select one of your volunteers from the list, and then click the “Login Now…” button. Your web browser will open, and the login information for the volunteer you selected will already be entered into the Username and Password fields. Click on the Login button and you’ll log into the Web Terminal as if you were the volunteer you selected. Notice the same five tab layout that we saw in the Web Terminal pane inside MSP.

Preview…

To see what the contents of a tab will look like when the tokens have been replaced without having to log into the live terminal, click on the “Preview” button at the bottom of the Web Terminal pane and select a volunteer from the “Preview for” list that pops up. Click in the top pane of the Web Terminal in MSP to return to normal editing mode.

Commit Changes

Click this button to save any changes to settings, styling, and options made to the Web Terminal.

The Home Tab

Terminal URL and Copy

The Web Terminal URL at the very top of the Home tab is the URL (web address) that your volunteers will use to log into your Web Terminal. You can click on the “Copy…” button to copy the URL to the clipboard, then paste it in an email or other document by choosing Paste from the Edit menu. Your volunteers can then type the URL into their web browsers or just click on it in an email to reach your Web Terminal login page. You can also add a Web Terminal login link or button to your church website by asking the website administrator to post this link.

The My Schedule Tab

The My Schedule tab is where your volunteers can find their personal schedule, request swaps if they can’t make one of their scheduled times, and volunteer to fill any swap requests made by other volunteers. By clicking on links for the date and time of a service, volunteers can also get to the service plan view of that service. Volunteers can also export their schedules directly to Outlook, iCal, or Google Calendars by clicking on the appropriate option at the top of this section. As swaps are made, positions changed, and new schedules are made Live, their external calendar program will always change as well to reflect the Live schedules in your program, so they only need to export their personal schedules once.

To display information on this tab, you must have at least one live schedule. A “live” schedule allows your volunteers to see up-to-date schedules online and enables MSP to replace tokens (such as the {{ScheduledServices}} token on this tab) that refer to information in a schedule with the correct information. Because shared schedules are stored on our internet servers, the web servers can display information from the schedules to your volunteers when they log into the Web Terminal. When saving a schedule, you have the option at that time to make it Live. Alternatively, if you have a schedule that is not yet live, you can make it live by opening that schedule and choosing “Make schedule live” from the File menu. You can also make a schedule live by going to the Schedules pane, selecting the schedule you wish to make live, and clicking the “Make schedule Live” button.

Once you have a live schedule, go back to the Web Terminal pane and click on the My Schedule tab. Then click on the “Preview…” button at the bottom of the screen and select a volunteer from the list that appears to how tokens are replaced with specific information for that volunteer. You’ll see that the {{ScheduledServices}} token is replaced with all the services for which the selected volunteer is scheduled from today’s date forward. Notice each service date and time is a link. When a volunteer clicks on one of these links, they will go to the service plan view for that particular service. When you preview, you will also notice the “(request sub)” link next to each service. Using these links, your volunteers can request a swap for any of their scheduled services. The swap request appears in MSP as a web form. Once a swap request is processed in MSP, the volunteer will then see a “cancel” link next to the position, which can be used to rescind their request if they later become available.

Once a swap request has been processed and the position is flagged as “sub requested,” the position will appear in the {{SwapRequestedPositions}} token (which is just below the {{ScheduledServices}} token) in the My Schedule tab when other volunteers who can fill the position log into the Web Terminal. They can then volunteer to fill in by clicking on the “(volunteer now)” link next to the position.

The Full Schedules Tab

The Full Schedules tab is where your volunteers can view your full ministry schedules. By clicking on the tab, you can see that the default contents are very simple:

List of “Live Schedule Posts”

A Live Schedule Post is a live schedule that has been exported directly to the Web Terminal. When a schedule is saved as Live, or later made live in the Schedules pane using the “Make Schedule Live” button, a Live Schedule Post will be made automatically and you will have the option to use default settings, define new settings, or clone settings from older Live Schedule Posts. For more information on the settings available when creating a Live Schedule Post, see Saving and Posting a Schedule.

Live Schedule Posts are automatically updated whenever changes to the schedule are made. If you create a Live Schedule Post and then later open the live schedule and remove a volunteer from a service, that change will appear in the Live Schedule Post automatically as soon as you save the live schedule.

New…

You may create multiple Live Schedule Posts for a single live schedule so that your volunteers can see the schedule in a variety of different layouts at one time. For example, you can create a Live Schedule Post for all ministries in the interactive calendar view layout, and then create another live schedule post in a tabular layout just for the altar server ministry. Whenever changes are made to the live schedule, all Live Schedule Posts associated with the schedule will be updated automatically in real time. To create additional Live Schedule Posts for a schedule, open the schedule and then click on the “New…” button next to the list of Live Schedule Posts at the top of the Full Schedules tab in the Web Terminal pane. (Alternatively, from the File menu of an open schedule, you can choose “Create additional Live Schedule Post…”). Once you have created additional Live Schedule Posts for one schedule, you can choose to clone those posts when you create future schedules, so you don’t have to recreate all your Live Schedule Posts every time you make a new schedule

The {{LiveSchedulePostList}} token is used in the Full Schedules tab by default. This token is replaced by a list of all Live Schedule Posts. The list of posts will be in the order they are displayed in the Live Schedule Post list at the top of the Full Schedules tab. You can drag click and drag a live schedule post in that list to change its position in the list. There are also other tokens available that are replaced by a link to a single Live Schedule Post, instead of a list of all live schedules. You can find these tokens in the “Live Schedule Post Links” submenu of the “{{Token}}” menu, visible in all tabs of the Web Terminal pane. These tokens are useful if you have many live schedule posts and would like more flexibility when arranging the links to each one, instead of placing them all in one long list.

View…

You may also post the full schedule on your church’s website by generating a link for a Live Schedule Post that you can then email to your church’s webmaster. This way, volunteers and church staff who may not be volunteers with access to the Web Terminal can still view up-to-date schedules on the church website. To generate a link for a Live Schedule Post, select the schedule post from the list of Live Schedule Posts at the top of the Full Schedules tab and click the “View…” button to the right of this list. A pop-up will be displayed with instructions on how to copy the link to an email and send to your webmaster. In the pop-up dialog, you may click the “Link to last…” button to generate a URL which will always point to the last Live Schedule post listed in your “Live Schedule Posts” box at the top of this pane, so you don’t have to change the link every time you create a new Live Schedule Post.

Settings…

Select a Live Schedule Post and then click Settings to change the layout or included information in any Live Schedule Post.

Rename…

Select a Live Schedule Post and then click Rename to change the name of the Live Schedule Post that appears in the list of Live Schedule Posts and on the Full Schedules tab of the Web Terminal. Note: You may also want to use the Settings button to change the title of the Live Schedule Post in the Document Settings.

Delete…

Select a Live Schedule Post and then click Delete to remove a Live Schedule Post from this list and the Web Terminal.

The Rosters Tab

The Rosters tab is very similar in layout and function to the Full Schedules tab. By default, its contents are a list of Live Roster Posts. These are rosters that are automatically updated when information in your database is changed. For example, if you change a volunteer’s phone number and one of your Live Roster Posts contains phone numbers, that Live Roster Post will be updated as soon as your database is saved (either by choosing “Save database” from MSP’s File menu, or simply by quitting out of MSP.) You may create separate Live Roster Posts for each one of your ministries, or you can create a master Live Roster Post for all of your ministries. There is even an option to make Live Roster Posts available only to volunteers qualified for ministries included on the roster, making it easy to keep information private for a particular ministry.

New

Click on the “New…” button next to the Live Roster Post list to create a new Live Roster Post. For more information on creating Rosters and the options available, see Rosterizer.

View…

Select a Live Roster Post and click view to see the roster displayed in your web browser.

Settings…

Select a Live Roster Post and then click Settings to change the layout or included information in any Live Schedule Post.

Rename…

Select a Live Roster Post and then click Rename to change the name of the Live Roster Post that appears in the list of Live Roster Posts and on the Roster tab of the Web Terminal. Note: You may also want to use the Settings button to change the title of the Live Roster Post in the Document Settings.

Delete…

Select a Live Roster Post and then click Delete to remove a Live Roster Post from this list and the Web Terminal.

The My Profile Tab

The My Profile tab is where your volunteers can view and request changes to their personal information (e.g., name, phone, address), and their scheduling settings (e.g., qualified ministries, service preferences, and can’t-serve times). You can control which information your volunteers are able to view and change by clicking on the “Web Terminal settings…” button in the My Profile tab and then clicking on the Profile Changes pane. Each subheading in the Profile Changes section correspond to items they can potentially see and update. You should adjust the settings to best suit your church’s specific needs before rolling out the Web Terminal to your volunteers. For a complete discussion of how to customize the My Profile tab, see Web Terminal Settings.

Unlike the other tabs, the volunteer-specific information on the My Profile tab cannot be previewed from the Web Terminal inside MSP. You must use the “Login as” button at the bottom of the Web Terminal pane inside MSP to view how the tab will appear to a volunteer. Once logged in, you can see that volunteer’s information appears directly below the text content of the My Profile tab inside MSP. To change volunteers’ ability to edit information, click on the “Web Terminal settings…” button, go to Profile Changes, and enable or disable a setting. Click the “Commit Changes” button at the bottom right corner of the Web Terminal in MSP. If you are already logged into the Web Terminals one of your volunteers, click on the My Profile tab in your web browser to refresh the contents of the tab to see your changes.

When your volunteers submit changes to any of their profile settings on the My Profile tab, a web form is created that will be listed in the Web Forms pane inside MSP. The changes are applied to the profile when this web form is processed. Please see Web Forms for more information.
